Using another email provider? Migrate step by step

Our consultant follows a sequence to preserve existing mail and minimize disruption. You only need to prepare a few details.

  1. Step 1: Review the existing system

    We list your mailboxes, storage usage and domain management provider.

  2. Step 2: Create new mailboxes

    Create all addresses on your chosen package, keeping existing mailbox names.

  3. Step 3: Copy existing mail

    Move messages and folders from the old system to the new server.

  4. Step 4: Update MX, SPF and DKIM records

    Point DNS to the new server during a quiet email period.

  5. Step 5: Check and hand over

    Test sending and receiving, reconfigure devices and keep the old system for a few days to catch any remaining mail.

Add your account once and mail syncs across computer and phone. We provide settings at handover and help with setup when needed.

    2. Select Other, then Add Mail Account.
    3. Enter your name, email and password, then select IMAP.
    4. Enter incoming and outgoing servers from your handover settings.

    2. Select Other and enter your full email address.
    3. Select Personal (IMAP) and enter your password.
    4. Enter the server and port from your handover settings.

  • Outlook on desktop

    1. Open Outlook, then File, Add Account.

How does domain email differ from free email?

Domain email uses addresses such as you@yourcompany.com instead of a free provider's domain. Customers immediately recognize your company. Your company manages all mailboxes centrally, creating or locking accounts when staff change. Every 123Website package includes SSL, spam protection and SPF / DKIM / DomainKeys authentication.

Which email package should my company choose?

Start with staff count and actual email volume. Small teams or new companies often suit 10 to 30 GB; companies with multiple departments often choose 50 to 100 GB; organizations needing many mailboxes use 200 GB or more. Upgrade as you grow while keeping the same system.

Can I use it without a domain?

You need a domain first, because email addresses use your company's domain. If you don't have one, register a domain at 123Website and set up email in the same place. If your domain is managed elsewhere, we guide you through adding MX, SPF and DKIM records without transferring the domain.

Will I lose mail when migrating from my old provider?

No mail is lost if the correct sequence is followed. We create all new mailboxes, copy existing messages, then switch MX records to the new server, usually off-peak. Keep the old system for a few days to catch mail during DNS propagation. Timing depends on mailbox size; your consultant confirms after review.

Can I set up email on my phone and Outlook?

What do daily and hourly sending limits mean?

Each package has daily and hourly sending limits. Business 1 allows 30/day and 5/hour; Business 8 allows 1,000/day and 120/hour. These limits help protect the server's sending reputation, reducing the risk of spam flags. Business email is for everyday work communication, not bulk newsletters.
